Advanced Data Processing with ABBYY OCR

Purpose: The purpose of this article is to define the scope of the project and the solution provided to the client.

In an era defined by vast amounts of digital and physical information, the ability to accurately and efficiently convert scanned documents into usable data is critical for businesses. Optical Character Recognition (OCR) technology plays a pivotal role in this transformation, enabling the conversion of text images into machine-encoded, editable data. Technosoft Solutions Inc., a leading outsourcing software and application development company with over 15 years of experience, specializes in developing bespoke solutions that leverage cutting-edge technologies like OCR to address complex client needs.

This article focuses exclusively on Technosoft’s expertise in OCR data processing, as demonstrated through a specific client project: the ABBYY OCR solution. This case study highlights Technosoft’s commitment to innovation, precision, and delivering robust applications that streamline data management and enhance operational efficiency.

What is an OCR? Understanding Optical Character Recognition (OCR)

Optical Character Recognition (OCR) is a technology that facilitates the mechanical or electronic conversion of typed text images, handwritten, or printed text images into machine-encoded text. It is a multidisciplinary field drawing from pattern recognition, artificial intelligence, and computer vision. The fundamental purpose of OCR is to enable computers to ‘read’ text from physical documents or images, making the content editable, searchable, and suitable for various digital processes. This capability is indispensable for digitizing legacy documents, automating data entry, and improving information accessibility, thereby significantly boosting operational efficiency and minimizing manual errors.

ABBYY OCR – Transforming Scanned Data into Actionable Insights

Client Requirements

Technosoft Solutions Inc. was tasked with developing an application to process and refine OCR data generated by the ABBYY FineReader application. The client’s primary need was to convert the raw text output from FineReader into a clean, structured Excel document that closely mirrored the original PDF document. This involved not only extracting text but also identifying and correcting errors and intelligently structuring the data for usability.

Solution Provided

Technosoft developed a sophisticated C# application specifically designed to address these complex OCR processing requirements. The solution provided a robust mechanism for transforming raw OCR output into highly accurate and usable data:

  1. Parsing FineReader Output: The application was engineered to efficiently parse the text data generated by ABBYY FineReader.
  2. Error Identification and Marking: A key feature of the system was its ability to identify errors within the OCR data using Regular Expressions. Identified errors were visually highlighted in RED within the processed output, making them immediately apparent for review.
  3. Intelligent Data Structuring: The C# application demonstrated advanced logic by automatically splitting and merging columns where necessary to ensure data integrity and proper formatting. These automated corrections were visually marked in YELLOW, providing transparency into the system’s adjustments.
  4. High Fidelity Output: The ultimate goal was to produce an Excel document that was a clean, corrected version of the OCR data, very closely matching the layout and content of the original PDF document.

The application featured a user-friendly interface that allowed users to easily select the source folder containing the OCR text files and specify the desired output path for the generated Excel file. This streamlined the workflow and enhanced user efficiency.

High-Level Features of ABBYY OCR

How to import a task in Fine Reader?

  1. Click on the “New Task” on the main screen.

How to Run the Task to Generate OCR Data

  1. Select the “ABBYY OCR Task” file from the Task Folder, provided as a sample task file.
  2. The task would be listed in the “New Task” screen.
  3. Now open “Vodafone_Sample_PDF.pdf” from the “OCR Sample”. Click on the task with the name “ABBYY OCR Task”.
  4. The user would be prompted to select an “Area Template”. Select “Vodafone_Saple_PDF.blk” file from the “Area Templates” folder. An “Area Template” defines the rectangular area on the page that will be recognized.
  5. Fine Reader would start analysing the opened document, and after analysing recognition process would start.
  6. After the recognition process was completed, the user would be prompted to provide the name and file type of the file. In the File name input box, provide the output file name. Select “Text” in the “Save as type” option.
  7. In File options, select the ” Create a separate file for each page” option. Click on the Save button. Fine Reader would save the output file in tedt format with the save button. Finr Reader would save the output file in text format with the number added as a postfix.

How to Create an Excel Output

  1. Install and run the ABBYY OCR application.
  2. Browse for the folder that contains the data that was generated by Fine Reader using the “Select Path” button.
  3. Provide the output path for the Excel file using the “Output File’ button.
  4. Click on the “Start Processing” button. The application would start parsing the text files in the selected folder and, at the end, generate an Excel document in the output file. The progress indicator showed the number of files that were being processed.
  5. You can stop processing using the “Stop Processing” button.
